Our objective is to eliminate entirely the hassles of archiving.
Clients can perform as much or as little of the archiving as their resources and priorities allow through to an entirely hands-off service in which we perform all aspects of packing and preparing a detailed inventory of contents.
We start by meeting to understand your existing arrangements, difficulties and objectives with respect to records. We then design and propose a practical tailored solution to free space in your office and to ensure accurate and complete indexing of business records.
We can also assist in assigning appropriate disposal dates to enable the records to be destroyed as soon as they pass their statutorily required or useful retention period.
For records already packed in archive boxes, we collect and barcode the archive boxes and, where available, import your existing contents data to our web-based tracking system.
If you are concerned about the integrity of your existing catalog or have experienced any misfiles, we can carry out a partial or complete discovery of the archive box contents.
Wherever possible we use your existing archive boxes and re-box only where we believe it necessary to ensure the records are safe and secure during transport and storage.
For clients that choose to perform archiving in-house, we can provide a tailored Excel based indexing template to ensure all contents information is captured and retained in a systematic format. Alternatively, clients can index file and box contents details directly into our database via the Internet.
Alternatively, we can handle all aspects of future archiving including supply of archive boxes, packing, barcoding and indexing contents without any involvement of your staff. This leaves staff free to focus on your business rather than archiving.
The boxes are scanned and rescanned into our Records Centre to provide a complete audit trail of the movement of your archives from collection through to eventual secure destruction.
Our web-based tracking system enables online searches, enquiries and ordering. Our aim is to put you in better control of your records when they are with us than when they were in your own office.
